Artist Notes Pane Flow

The Artist Notes Pane serves as the secure post-intake dashboard where tattoo artists review health alerts, log session equipment, calculate financials, attach supporting documentation, and sign off to upload the waiver.

Artist Notes Pane Overview

Once a client completes their digital release form, the iPad automatically locks and prompts them to return the device to the studio staff. The Artist Notes Pane is the artist's private control center. While the app strictly requires only the artist's signature to upload, logging pigments, disposable gear, and sterilization records provides critical legal and health department compliance for the studio.

Client Handoff & Security: To prevent clients from tampering with session data, accessing cloud files, or viewing other clients' private information, the Artist Notes Pane is strictly passcode-protected. The dual-passcode system guarantees operational safety:

Artist Passcode: Grants access to day-to-day client session operations, including intake lookup, health alerts, lot/equipment logging, and signature sign-offs.

Master Passcode: Required to edit studio settings, alter cloud integrations, manage subscriptions, or export sensitive client/financial spreadsheets.

The default passcode for both artists and managers is 1234, and studio owners are strongly encouraged to set unique PINs in settings to maintain security.

ACCESSING THE ARTIST NOTES PANE

This step describes how the artist takes over the iPad and unlocks the secure session dashboard.

ARTIST: TAP TO BEGIN- The artist enters their specific Artist Passcode (or the Master Passcode) on the numeric keypad. Entering the correct PIN instantly grants access.

HEALTH CONSIDERATIONS

This modal automatically alerts the artist if the client flagged any allergies, diseases, health conditions, or medications.

Options:

Preview This Waiver: Allows the artist to open and review the full generated PDF waiver before proceeding. Any health question the client answered "yes" to is highlighted on the PDF in bold RED text to ensure the artist is aware before setup.

I UNDERSTAND: Tapping this button dismisses the medical alert modal and opens the main Artist Notes Pane.

PIGMENTS & DISPOSABLES

This section tracks every physical, sterilized item used during the tattoo session to ensure flawless record-keeping for local health department compliance.

Options:

Pigments Used: Allows the artist to select the preloaded pigment brand, color family, and named color. Tapping "Add this Pigment to Waiver" logs it to the waiver.

Sterilization Lot Numbers: Tap fields to enter lot and sterilization codes. Using the iPad camera, the artist can scan barcodes/QR codes, use the camera's OCR to read printed numbers off the bottle, or type them manually.

Disposables: Dropdowns help the artist select the specific needle configurations (e.g., Magnum, Round Shader), needle sizing (e.g., 7, 9, 11), disposable tubes, grips, and in-session process salves.

SESSION FINANCIALS

This section ties your shop's revenue tracking directly to each client's waiver for clean bookkeeping and easy auditing.

Options:

Amount Due: The base cost of the session.

Total Tax: The applicable tax calculated for the session.

Deposit: Any booking deposit previously made.

Amount Paid: The final amount collected at the shop.

Remaining Balance: Recalculates automatically in real-time using the formula: Balance = (Amount Due + Total Tax) - (Deposit + Amount Paid).

Payment Method: Dropdown options including Cash, Credit/Debit Card, P2P Digital Payment, or Other.

SUPPORTING DOCUMENTS

This section allows artists to append supplementary documentation to the final PDF digital waiver.

Options:

Add with iPad Camera: Snaps a clear, high-resolution photo of paperwork or stencils at your station.

Add from iPad Image Libraries: Uploads an existing photo or design directly from the iPad's camera roll.

Document Types: Legal Guardian ID and Signature, Birth Certificate, Client Design/Pattern, Add Second ID, Second Government ID Picture, Custom Document, or Session Pigments.

OPTIONS BUTTON

These options allow the artist to finalize, pause, or adjust the waiver before uploading it to the studio's secure cloud storage.

OPTIONS: Tap to preview the waiver, correct the client's inputs (such as replacing a blurry ID photo), or cancel and delete the active form.

SAVE FOR LATER: Allows the artist to save the current session as a draft. This subscription feature lets busy shops park a form in the queue and finish logging session notes and pigments later, when they aren't slammed by the work of a busy shift.

FINISH & UPLOAD: Prompts the artist to "Tap to Sign this Waiver." The artist signs, taps "Done," and taps "FINISH & UPLOAD" to upload the waiver to the studio cloud.

Cloud Syncing: The app instantly compiles the final PDF and uploads it to the connected cloud service (Google Drive, Dropbox, OneDrive, or Box) set up in the CLOUD tab. Completed forms are automatically filed under:

Beluga Digital App [year] Tattoo Release Forms / Waivers.
